Administrative Assistant

The Administrative Assistant will provide administrative support to the Executive Team.

 The ideal candidate will possess:

  • College diploma or equivalent or 3-5 years of experience in the field or related area;
  • Proficiency in MS Office, with working knowledge of Excel, Word and Power Point;
  • Basic knowledge of accounting;
  • Self-starter with the ability to juggle multiple schedules;
  • Ability to multi-task and prioritize multiple deadlines;
  • Ability to organize and expedite work flow;
  • Ability to work in a fast paced environment and to adapt to change;
  •  Excellent verbal & written skills.

Practicing our corporate values of RESPECT, the successful candidate’s responsibilities will include, but are not limited to, the following:  

  • Processing insurance claims including management of payments and reimbursement process;
  • Liaising with insurance brokers, adjusters and sites with respect to insurance specific matters and claims;
  • Assisting in preparation of educational materials related to insurance matters;
  • Preparing documents for various legal proceedings (i.e. books of authorities, mediation briefs);
  • Arranging for service and filing of legal documents;
  • Setting up and maintaining calendars, contact lists and groups in Outlook;
  • Organizing and scheduling meetings/appointments and the bookings of rooms;
  • Preparing monthly expense accounts and reconciling monthly Amex bills;
  • Making travel arrangements;
  • Creating PowerPoint presentations;
  • Liaise with other departments as required.
  • Handling incoming mail and providing information to callers;
  • Following up on calls related to print advertising;
  • Setting up and maintenance of paper and electronic files as well as preparing documentation for mail, fax, e-mail or courier.
